About us

SimmaSend is operated by James Ward and is registered with the ICO under reference ZC130082. The service is accessible at simmasend.com and app.simmasend.com.

What SimmaSend does

SimmaSend is a web-based service that allows teachers to record voice, video, photo and text feedback for students. Feedback is transcribed and summarised by AI and delivered to students via a QR code. Schools, colleges and universities subscribe and manage their own classes, students and teachers through an admin dashboard.

Accounts and access

• School administrators sign in via magic link (a secure, single-use link sent to their registered email). No passwords are stored.
• Teachers are identified by a browser cookie set on first use. A school administrator provides each teacher's email address, which is required. Teachers sign in via a single-use magic link sent to that address; no password is stored.
• Students do not have accounts. They access feedback by scanning a QR code, which opens a unique URL. A school administrator provides each student's school- or university-issued email address so the student can be notified when new feedback is available.

Acceptable use

You must not misuse SimmaSend by: knowingly introducing malicious software; attempting to gain unauthorised access to our systems; using the service for any unlawful purpose; uploading content that is abusive, offensive or inappropriate for an educational environment; or attempting to access another user's data without authorisation. Breaching this provision may be a criminal offence under the Computer Misuse Act 1990, and we will report any such breach to the relevant authorities.

Intellectual property

We are the owner or licensee of all intellectual property rights in our site and its material, protected by copyright. You may not reproduce, distribute or commercially exploit any material from our site without our prior written consent. Feedback content (audio, text, photos, video) uploaded by teachers remains the intellectual property of the school. SimmaSend does not claim ownership of user-uploaded content.

AI-generated content

SimmaSend uses OpenAI's APIs to transcribe and summarise feedback. AI-generated summaries, titles and action points are provided as a convenience and may not always be accurate. Teachers and schools should review AI-generated content and not rely on it as a sole source of information.

Data and privacy

We process personal data in accordance with our Privacy Policy and, for schools, our Data Processing Agreement. By using SimmaSend, you warrant that data you provide is accurate and that you have an appropriate basis to provide it.

Email notifications

SimmaSend sends email notifications to students when new feedback is available, using the school- or university-issued email address provided by a school administrator. These notification emails contain no feedback content — they simply inform the student that new feedback is ready to view. Schools are responsible for ensuring they have an appropriate basis to provide student email addresses to SimmaSend for this purpose.

Teachers may also receive a notification when a student replies to their feedback (containing no excerpt of the reply), and may export a feedback report to their own verified email address; such reports contain feedback content and are sent only to the requesting teacher.

Availability and changes

We aim to keep SimmaSend available at all times but do not guarantee uninterrupted access. We may update, modify or discontinue features at any time, giving reasonable advance notice of significant changes where possible.

Our liability

The service is provided “as is” without guarantees or warranties as to accuracy or fitness for a particular purpose. To the extent permitted by law, we exclude liability for indirect or consequential loss or damage, including loss of data, loss of business, or wasted time. This does not affect our liability for death or personal injury arising from negligence, nor any liability that cannot be excluded under applicable law.

Our site may contain links to third-party websites. We have no control over those sites and accept no responsibility for their content.

Jurisdiction and applicable law

These terms are governed by the law of England and Wales. The English courts have non-exclusive jurisdiction over any claim arising from your use of SimmaSend.

Amendments

We may revise these terms at any time by updating this page. Changes will not apply retrospectively. Please check this page periodically.
